The notebook by the till
Nobody sets out to fill in a week of records from memory. It happens because the record lives somewhere the work does not.
Plenty of businesses that take bookings keep a notebook by the till. Or a spreadsheet on the office laptop, or a list on the back of the appointment book. It holds what the booking app and the card reader do not: who paid cash, who still owes a balance, who bought a gift card, who prefers the later time.
On a busy week it is easy for three days of it to be filled in together on a Friday evening. This is not a character failing. It is what happens when a record lives somewhere you only go for a different reason.
Why it drifts
The notebook is a daily job with no daily consequence. Nothing breaks on the day you forget to write something down. The consequence arrives weeks later, as a payment nobody can match, a gift card nobody can find or a customer who is sure they paid the deposit, and by then the only honest answer is that nobody remembers.
A record made away from the work is a record made from memory. It is a reconstruction, and everyone who reads it later can tell.
Three records that never agree
Once you see it in the notebook you see it everywhere. The booking app says one thing about Tuesday. The card reader’s report says another. The spreadsheet says a third, because it was last updated on Sunday. Each one is right about its own small piece, and none of them is right about the business.
All the same shape: a real job, no daily feedback, and a record that lives away from the work. The person who reconciles them, usually the owner and usually late, becomes the only place where the whole picture exists.
What changes it
Two things, and neither is discipline.
Make one record, where the work already happens. If the booking, the payment and the note about the customer are made in the same place at the same moment, there is nothing to copy across later and nothing to drift.
Make the gap visible the same day. Not at the end of the month. A balance that is obviously unpaid gets chased; one that is quietly unrecorded stays that way until it matters.
On having clean books
No software makes your books right on its own, and anyone selling that is selling something they cannot deliver. What software can do is record the takings as they happen, against the right customer, so that what you hand your accountant matches what actually happened.
That is a smaller claim than “your accounts, done for you”. It is also the only one that holds up when the accountant starts asking questions. It is the thinking behind Freemi Custom: one record per customer, with every booking and payment already on it.
Your services and prices, opening hours, team and booking rules. Freemi Custom is set up around them, and if your business needs something more, talk to us.
